Register articles
How do I get started with BASTA?
Follow our guide to connect your company and register articles
From affiliation to audit
The BASTA system is a self-declaration system, which means that, as an affiliated company, you carry out the process yourself. This includes conducting assessments, registering articles in the system, retaining all documentation (assessment summaries and supporting documentation), and updating registered articles when changes occur or as part of the annual review process.
A company's work with the BASTA system may be carried out internally or with the support of a consultant. To ensure the quality of the system, BASTA conducts regular audits
Step 1: Join the BASTA system
Register a new company or join an already affiliated company as a user.

Step 2: Start registering articles
To begin the product registration process, the following documents and actions are required:
Before you start registering articles in the system, you need to establish a routine for your work with the BASTA system. If you already have a quality management system with documented procedures, you can use that. If not, we have developed a template that can be adapted to suit your way of working. The template is available on the Documents page Document.
The procedure must contain the information required by the Organisation criteria area. For more information, see criteria O1 and O3 under the Organisation criteria area.
It is the responsibility of the registering company to assess whether products to be registered comply with the system's criteria. You must save the necessary documentation, including assessment summaries and supporting documentation, so that it is clear how compliance with the criteria has been achieved.
The documents must be saved by your company for your future work with the BASTA system.
On the document page you can find a template for an assessment summary that we recommend using.
Assessment against the Health and Environmental Hazards criteria area is carried out based on 100% knowledge of the product content. If you do not have full knowledge of the product content, you must either obtain 100% content information or receive a signed supplier declaration in which your supplier carries out the assessment according to the BASTA criteria. Read more about this in the criteria document.
Supplier declaration can be found in document. The supplier assesses compliance with the criteria, signs the document, and you use it as supporting documentation for your assessment and retain it in your records.
Products are registered at article level, meaning one article is registered for each article number. We recommend using GTINs, if available, as this improves the digital searchability of your articles.
It is your company’s responsibility to enter and register the articles in the system. This can be done either manually or by using an import file to register multiple articles at the same time.
Step 3: Updating registered articles
The company is required to update registered articles whenever any of the circumstances listed below occur.
In addition, we recommend reviewing your registered articles on an annual basis to ensure that all registrations remain accurate and up to date.

Step 4: Audit
To ensure the quality of article registrations, BASTA conducts annual audits. By joining the BASTA system and registering articles, the company agrees to allow BASTA to carry out these audits.
